The single biggest adjustment for GP users is this: stop looking for menus and modules. Start using Search. Once you master Search, Business Central becomes much easier to navigate.

GP Concept:  How Navigation Works in Dynamics GP


Dynamics GP was built around a traditional Windows application structure. Navigation in GP follows a predictable, module-based hierarchy:    

GP Navigation Structure

        Top Menu Bar: Transactions, Inquiry, Reports, Cards, Tools, Microsoft Dynamics GP

        Modules: Financial, Sales, Purchasing, Inventory, Payroll, Fixed Assets, and others

        Sub-menus: Each module contains sub-menus for specific tasks

        Windows: Individual entry screens for each transaction type

        GP also includes:

        Home Page: A configurable dashboard with shortcuts

        Navigation Pane (left panel): Quick links to frequently used areas

        Navigation Lists: List views for Customers, Vendors, Transactions

        SmartList: Separate tool for data inquiry and reporting



In GP, experienced users navigate almost entirely from memory. After years of using the same menus, the path becomes automatic. This is one reason why BC navigation feels disorienting at first.

Search Replaces Module Memorization

In GP, users had to know which module contained a specific transaction type. A new employee needed weeks of training just to find the right windows.

 

Business Central's Search (Alt+Q) solves this problem by allowing users to type what they want:

        Type 'payment journal' to find the Payment Journal page

        Type 'customer' to find the Customer List, Customer Cards, or Customer Ledger Entries

        Type 'bank rec' to find Bank Account Reconciliation

 

This makes onboarding faster and reduces dependency on memorized navigation paths.


Role Centers: Personalization by Job Function

GP's Home Page was a single configurable dashboard. 

Business Central's Role Centers are fully role-specific, meaning:

        An accountant sees accounts payable tasks and aging summaries

        A controller sees financial KPIs and approval queues

        A sales rep sees order status and customer activity

 

This reduces noise and helps users focus on what matters to their job.

 

Pages Replace Windows

GP windows were static. A Payables Transaction Entry window always looked the same for every user in every company.

 

BC pages can be:

        Personalized: Move, hide, or add fields

        Extended: Add custom fields via extensions without modifying core code


Role-aware: Different users may see different fields and actions

Search is the most important navigation skill in Business Central. GP users should practice this before anything else.

How to Change Your Role Center

1.     Click the Settings gear icon (top right corner)

2.     Select 'My Settings'

3.     Click the Role field

4.     Browse available roles or search

5.     Select a new role and click OK

GP User Tips

        Memorize Alt+Q. This is your replacement for the GP menu system.

        Think in page names, not module paths. Instead of 'Transactions > Purchasing > Transaction Entry,' think 'Purchase Invoices.'

        Blue underlined text always means drill-down. Clicking it opens more detail, just like GP's Zoom feature (but easier).

        The FactBox panel on the right replaces many GP Zoom and Inquiry windows. Look there first before opening new pages.

        Bookmark pages you use daily. Click the bookmark icon to pin a page to your Role Center.

        Use browser tabs. You can have General Journals open in one tab and Vendor List open in another.

        Do not close BC like you closed GP windows. Use the browser Back button instead.

        Your Role Center is customizable. Ask your administrator to personalize your home page.
